We are looking for a new Helpdesk & Reception Administrator at our Chandlers Ford Head Office who will support the Property Helpdesk function by managing service requests, coordinating maintenance activities, and maintaining accurate compliance records as well as providing a professional front-of-house reception service to support visitors and incoming communications.
Main responsibilities:
- Responsible for managing the property helpdesk shared inbox, triage property service requests via phone and email in a timely manner, logging tasks accurately.
- Coordinate planned maintenance within the renewal date, and reactive maintenance activities within a timely manner.
- Maintain records of assets, compliance documents, and service schedules ensuring they are filed correctly within Sharepoint.
- Support SHEQ audits and compliance inspections by providing relevant documents within the deadline set by SHEQ.
- Support the Property Compliance Lead by monitoring contractor performance and being responsible for updating contractor records.
- Escalate issues or concerns to the Property Compliance Lead when required.
- Create monthly reports requested by the ESG team, on property utilities nationwide.
- Answer incoming telephone calls in a timely manner via switchboard and transfer them to the relevant department/individual accurately. Ensure callers receive a professional and responsive service, and all missed calls are returned promptly.
- Deliver a professional and welcoming reception service, creating a positive first impression for visitors, customers and colleagues. Log all visitors' contact details and issue company pass and notify the recipient they are visiting.
- Respond to all internal emergency calls immediately (within the site) as appropriate. Act as a first point of contact for emergencies and be the main contact for emergency services.
- Ensure Reception area is welcoming, neat, tidy and clean with promotional media displaying during office opening hours.
- In the event of the fire alarm, follow the evacuation procedure. If safe to do so, take the visitors' logbook and report to a Fire Warden.
- Manage post, deliveries, and vehicle key handling daily ensuring department post is received.
- Book meeting rooms, travel, and accommodation for the property team when requested.
- Monitor email inboxes daily and triage any priority queries, forwarding them to relevant departments.
- Create stationery orders and special stationery requests, informing the accounts department of the cost to ensure the cost remains within the budget.
- Actively promote a positive safety culture to ensure relevant safety, health, environmental legislation, directives, and best practices are followed daily through helpdesk activities.
Qualifications & Experience:
- Proven experience in a property helpdesk, facilities, or maintenance coordination role.
- Strong understanding of property compliance requirements, service scheduling, and record management.
- Experience logging, tracking, and coordinating reactive and planned maintenance tasks.
- Excellent organisational skills with the ability to manage multiple helpdesk requests and prioritise workloads effectively.
- High level of accuracy and attention to detail, particularly when handling compliance documentation and audit records.
- Confident using digital systems, CAFM/helpdesk platforms, and Microsoft Office tools.
- Strong communication skills to liaise with contractors, internal teams, and stakeholders.
- Proactive problem-solving approach with the ability to escalate issues appropriately.
- Customer-focused mindset, maintaining professionalism across both helpdesk and reception interactions.
- Previous experience in a front-of-house or reception role (desirable but not essential).
